The annual Gulf Coast Chapters Conference (GC3) returns this fall for an in-person event at the Renaissance Riverview Plaza Hotel in Mobile, Alabama. 

Co-hosted by the Alabama, Louisiana, and Mississippi Chapters of HIMSS.

  • Wednesday Nov. 17, 2021 1:00 - 4:00pm - Pre-Conference Symposium  This event is free for registered GC3 attendees but separate registration is required. Upon conference registration, you’ll receive an email that contains a promo code to use for the free symposium registration.
  • Thursday Nov. 18, 2021 8:00am - 7:30pm - Full day of educational sessions; vendor hall open; networking reception
  • Friday Nov. 19, 2021 8:00am - 12:15pm - Morning educational sessions

Eligibility

  • Students must be registered and attending courses in an accredited academic undergraduate or graduate program currently or within the last 12 months prior to the application submission deadline. If accepted, they may be a program graduate at the time of presentation.

  • Students must have a current Alabama, Louisiana, or Mississippi HIMSS Chapter membership by the submission deadline.

 

FAQs

A HIMSS Gulf Coast Chapters (GC3) live event can be an experience like no other. However, as we prepare a return to in-person events, GC3 is working to ensure all participants are safe, healthy, and thoroughly engaged.   We have put together some information and responses to frequently asked questions (FAQs) to help you better understand the path toward a successful GC3 8th Annual Fall Regional Conference on November 17-19, 2021.

I have registered for the GC3 8th Annual Fall Regional Event. What now?

Congrats! With the evolving landscape of meetings in a Covid-19-aware world, restrictions have been set in place for venues, travel, and logistics of events.  Current GC3 Requirements and Precautions:

  • Masks are requested and signage will be posted accordingly
  • Sanitizer stations will be available
  • Meals will not be buffet-style in order to reduce touch points where possible.
  • Follow all social distancing guidelines
  • Work to accommodate attendee comfort level as we consider layout of the spaces in which we meet

While GC3 will provide event-specific information regarding location, evolving travel restrictions, and additional precautions, it is your responsibility to ensure that you meet all necessary requirements to travel to Mobile, Alabama where the event will be hosted.

Am I required to be vaccinated to attend in-person? 

What if I have not been vaccinated?

Vaccination status is not currently required under Alabama state law to attend in-person events.

Yet, Covid-19 is a global pandemic that affects venue capacity, travel restrictions, and local activities/accessibility. Your safety and health are of the utmost importance.  While we cannot mandate immunization, we firmly encourage all attendees become FULLY vaccinated prior to travel/attendance of the GC3 Annual Fall Regional Conference

Ideally, attendees should receive a full course of a Centers for Disease Control and Prevention (CDC) authorized and recommended vaccine and be 14 days post-vaccination prior to the event.  Currently, these are limited to:

  • Pfizer-BioNTech
  • Moderna
  • Johnson & Johnson/Janssen

Currently, the CDC does not recognize any mixed combination of the above-noted Covid-19 vaccines as meeting the term “fully vaccinated.”

Do I have to wear a mask at the event?

GC3 is asking all attendees to wear a mask, although we will not be able to mandate masks.  GC3 will continue to monitor state-mandated restrictions. This includes any concerns around hosting an in-person event as well as requirements to be to participate at in-person live events.

Is there a process for contact tracing?

We encourage you to download a Covid exposure notification app – this technology relies on self-reported Covid diagnosis of users and provides notification of potential exposure. Click below to learn more.

What guidelines will GC3 follow to maintain a safe event?

If Covid-19 numbers increase in the state of Alabama, would the event be postponed or cancelled?

GC3 is monitoring the Covid-19 numbers.  In the case that we need to make changes to the event, we anticipate the following scenario will be implemented:

  • The HIPAA pre-conference symposium will be converted to a virtual event using Zoom and remain scheduled for November 16th.
  • The remainder of the GC3 Conference will be rescheduled to occur in the spring of 2022 at the same location.
  • The Renaissance Mobile Riverview Plaza Hotel will work with all individuals and/or groups to rebook hotel rooms.

If the conference is postponed or cancelled, may I receive a refund for my ticket(s) or sponsorship?

If the event is cancelled or postponed, tickets will be refunded.

We continue to monitor the COVID situation and will adjust our conference plans if needed. If COVID forces us to postpone or cancel the conference we will offer sponsors the option to roll your sponsorship forward to the new date or receive a refund of your sponsorship purchase. We are trying to be a flexible as possible given the situation.
